Creating Tasting Sheets or Presentations

Once your organization sets up the tasting sheet template, here are the steps on how to generate and export a tasting sheet.

Tasting Types

Vinosmith now has three types of tasting sheets.

  1. Tasting for one account

    • Only one account can be selected. Account contacts can be noted as "participants.

  2. Tasting for multiple accounts

    • A single tasting can be created for multiple accounts. This type does not allow participant inclusion. It is a convenience feature to avoid re-entering the same tasting details multiple times.

    • Please Note:

      • After the tasting has been saved, the multiple accounts assigned are automatically separated out into individual tastings for each account. At that point, any changes would need to be done for each individual tasting.

  3. Presentation

    • Presentations are designed to be independent of any specific account. Presentations have a Visibility option to share with all Vinosmith users or keep private (just me).

    • Please Note:

      • Presentations can only be edited or deleted by the creator.

      • If a presentation is shared, any updates the creator makes to it are reflected for all users

      • Users can clone a presentation to customize/update it.

      • Presentations cannot be converted to a different type

A Tasting Sheet can be started from

  1. The Tastings tab

  2. The Interactive Inventory tool

  3. The Account

Option #1: Creating a Tasting Sheet From the Tastings Tab

  • Click on the Tastings tab.

  • In the top left corner, click New Tasting.

  • Select the Type

  • Set a Reminder? -- Set this reminder before or after the tasting to schedule a follow-up. Reminder emails are sent once each morning.

  • General Tasting Notes — these notes can optionally be included in the tasting sheet export.

  • Click Save

Option #2: Creating a Tasting Sheet Using the Interactive Inventory Tool

  • Click on Wines

  • From the left nav, click on Interactive Inventory.

  • Filter out/sort your items.

  • Once you have your item results, scroll down to the bottom of the page and click on With Filtered Wines.

  • Click on Create Tasting

  • This will then take you to the Tastings screen (Option #1 above) 

Option #3: Creating a Tasting Sheet from an individual account

  • Click Create New Tasting when on a specific account.

  • This will then take you to the Tastings screen (Option #1 above) with the account name pre-populated

To Export a Tasting Sheet

Once you've created the tasting, here's how to export the tasting sheet as a PDF. 

  • From the top left corner, click on Export Tasting Sheet.

  • On this page, you can select your preferred parameters/options:

    • Choose a Template -- all templates for your organization will be listed here 

    • PDF Export Version:  

      • 1 -- is more streamlined (very basic - no images or wine properties)

      • 2 -- allows you to add more details, such as bottle shots, vineyard, appellation, etc

      • 3 -- It includes the same details as Version 2 but with improved formatting

      • 4 (NEW 2026) This is the preferred and recommended version.

        • Prices are displayed horizontally

        • QR Code: Only included if your organization is active on the Marketplace. The QR code links to your organization's Marketplace.

    • Show Tasting Date?

    • Include Account Name?

    • Include Wine Code?

    • Title -- can be created for the tasting

    • Sales Rep / Contact Info [admin only can select this]

    • Only Show Default Prices? -- this will override any public prices for each Wine

    • Include General Tasting Sheet Notes?

    • Include Producer’s Name?

    • Honor Premise Pricing -- this is only available in version 3 & 4

    • Include Any Account Specific-Pricing (including Private Prices)? -- selecting the "Exclude all prices" option in the dropdown above will prevent account-specific pricing from being displayed.

    • Price Label Filter -- if you'd like a specific pricing reflected on the Tasting Sheet, you can enter that here

    • Format -- PDF is the default. Excel is an option (this would only include Wine and Pricing, and has limited formatting)

    • Wine Image Sizing -- you can use the Template Setting or change the sizing from Small to Large (Only for PDF Export Version 3 and 4)

    • Wine Image Vertical Alignment -- you can use Template Setting or change the alignment to Top, Middle, or Bottom  (Only for PDF Export Version 3 and 4)

    • Toggle Tasting Sheet Displays — clicking the link toggles all the Tasting Sheet Display? checkboxes.

    • Toggle Bottle Prices — clicking the link toggles all the Include Display Bottle prices? checkboxes.

    • Click on Export or Copy to Clipboard as Plain Text 

Notes:

  • If an item is marked "Price/Tasting Sheets?"= No, the item cannot be included in the tasting sheet.

  • Only Public prices can be included.

  • If you cannot generate a tasting sheet, don't hesitate to contact your Admin to create the Tasting Sheet template.

  • When creating a reminder, it's best to set it to a future date.
