What You Need to Get Started:

  • Download a copy of our current template

    • Click on My Account

    • Click on Manage

    • Click on Import Purchase Orders from File.

      • The template can be found at the top of the Import Purchase Orders from File page

  • Review the importing instructions on the Import Purchase Orders from File page to help familiarize yourself with which items/fields are required to have a successful upload

    • Click on My Account

    • Click on Manage

    • Click on Import Orders From File

Essential Requirements - Data Check

  • Are all items included in these purchase orders in Vinosmith? -- All items must be in Vinosmith for the data to be imported.

  • Do the primary units (cases or bottles) match? Your Primary Unit mode must match the unit you use in Vinosmith. For example, if your items are in case mode in Vinosmith, the pricing and quantities on the spreadsheet will also need to be in cases.

Next Steps:

  • Complete the template with your PO data and save your file

  • Go to the Import Orders From File page by following these steps:

    • Click on My Account

    • Click on Manage

    • Click on Import Orders From File

  • Select the appropriate parameters for your file

    • Inventory Handing

      • For each line item in the file, the Item Inventory's "On Order" value will be incremented. This implies you will later perform receiving actions to move the "On Order" inventory to "On Hand". Incrementing On Order will automatically put the Purchase Order in Open status. This ignores any status set in the file.

      • If you do not plan to ever receive these Purchase Orders and they represent "historical" POs that have long since settled, then you do not want to manipulate inventory and use that option.

  • Click on the box next to Dry Run? -- this will perform an analysis and notify you of any data issues (this will not import any orders)

  • Please note: the Dry Run? box would need to be unchecked for the data to be imported

  • Click on Import
